Rugby Tours

Our team of rugby tour co-ordinators are actively involved in rugby, as players, coaches or spectators and have participated in many overseas rugby tours, as players or tour leaders, giving us an unrivalled understanding as to the components required to organise an excellent 2021 rugby tour.

We have organised rugby tours for a range of organisations; from professional senior and representative sides in New Zealand, Australia and South Africa to social club teams, (male & female), universities, school rugby teams, teams from the Army, Navy and Royal marines as well as junior rugby tours for youth and mini & Junior rugby sections. We can enter your team in a number of stand out rugby tournaments adding that element of scrutiny and test for your players, or arrange long weekend mediterranean beach rugby tournaments as a means of thanking the players for a great season.

Within our Sports Tour organisation, we have a range of experience in delivering Cricket tours. As the game of Cricket develops and the format appeals to the younger generation, we are are poised to offer a range of tours to clubs both amateur and professional. We have experience in delivering a variety of tours all over the world within this sport and we rely on this to serve us well when it comes to understanding the intricacies of what you want to achieve from your cricket tour. Whether its a masters tournament on the other side of the world, a 20/20 cricket tournament on a beach in the Caribbean or a one day match in Sri Lanka, we have your back!

The process

Tours are a long-standing tradition of sport and the best tours are usually the result of good planning. This simple checklist will help you get started…

Tour Planning

​

  • Appoint officials and agree terms of reference:

    • Tour secretary

    • Treasurer

    • Promotions manager

    • Press officer (If necessary)

    • Tour party manager

    • Tour captain

    • Coach(es)

    • Doctor/Physio/Medical cover

    • Baggage master

  • Decide dates of meetings and establish deadlines for administrative arrangements

  • Obtain permission to tour from relative governing bodies (FAW, FA, WRU, IRFU, RFU, MOD, etc) or via Constituent Body Secretary

  • Produce a tour brochure

  • Arrange promotional events

Tour Itinerary

​

  • Plan games, training sessions and free time

  • Decide where, when & how to entertain your party

​

 

Insurance

  • Personal

Documentation

​

  • Ensure valid passports and visas

  • Check import and immigration regulations

  • Arrange currency

  • Collect medical, dental forms and inoculation certificate

Assemble Pre-departure

​

  • Complete final medical checks by doctor

  • Complete fitness test

  • Take pre-tour photograph

Research

​

  • Collect data on prospective host Unions

  • Speak to prospective host clubs

  • Agree:

  • Destination

  • Dates

  • Numbers in party

  • Mode of travel

  • Type of accommodation (hotel, motel, B&B, billets, etc)

  • Requirements for training and team rooms

  • Clarify and confirm tour agreement with hosts including financial arrangements and reserves policy

  • Find visa and inoculation requirements

Kitting Out

​

  • Design tour motif

  • Issue of items of clothing - blazers, slacks, tracksuits, bags, etc

  • Order medical kit

  • Assemble training equipment

  • Take club flag

  • Purchase spare studs (differing lengths), laces, labels, etc

  • Decide on appropriate gifts to exchange

​

 

Personal Admin

​

  • Establish availability suitable players

  • Select squad

  • Ensure sufficient reserves on standby

  • Plan and agree pre-tour training including sufficient fitness testing

  • Produce a tour party roll with addresses, telephone numbers, emergency contacts

  • Produce addresses and phone numbers for tour locations

  • Complete next of kin forms

  • Establish and agree all duties required of officials, players and baggage master

  • Draw up a duty roster

  • Confirm press reporting procedures (If necessary)

Report Back

​

  • Reconcile accounts

  • Report to club, and sponsors

  • Send letters of thanks to host clubs

When on Tour

​

  • Maintain a tour dairy

  • Record expenses and keep accounts

  • Contact essential officials/embassies, etc

  • Distribute gifts

  • Maintain good conduct and PR
